Milestone and exit surveys depend on up-to-date record keeping of your employees' start and term dates so that the right surveys are sent at the right time in their tenure. To ensure this happens, our Implementation team can help you streamline the upload of your data to WorkStep so that our databases are updated on a recurring basis, automatically, to match the data in your HRIS.
Below are conditions and best practices to configuring these uploads for efficiency and accuracy:
Data Requirements
- The initial file you provide should have 12 months of retention history - including anyone within the defined scope who has terminated in the last 12 months.
- Each weekly file should contain all active employees and anyone who has terminated since the last file send, ideally including anyone who has terminated in last 90 days. The “WorkStep Hire & Term Report Template” includes the required fields.
- The file should also have reporting attributes as defined by WorkStep Implementation team and RETAIN users. See the “Reporting Attribute Examples” sheet in “WorkStep Hire & Term Report Template” for examples.
- All data should be contained in one file, or, one sheet if using Excel
- File naming convention should follow this format: “company_name_YYYYMMDD”
- “WorkStep Hire & Term Report Template” is intended to be a reference only. The final file format does not need to match field names, column order, data formatting, etc.
Frequency
- File should be automated, scheduled to send weekly at the same time of day.
